Sustainer Promotion Guidelines

Saturday Scribe Newsletter

Sustaining Saturday Scribe keeps the room free and open every week. One of the ways we say thank you is by giving Sustainers space in our monthly newsletter to share what they're building.

This is what that space is for, and how to use it.

Who can submit

Active Sustainers submit to the newsletter at no cost and receive a reduced rate on dedicated blasts. The Scribe newsletter submission opens after three consecutive months of sustaining.

Everyone else can purchase a placement. Rates are below.

Either way, submissions are for your own work. You may not submit on behalf of someone else's event, organization, or business — including a friend's project you'd like to see supported. If someone wants to be featured, they can submit for themselves.

Paying for a placement doesn't change the standards. Everything in this document applies to purchased placements too, including the discount requirement for paid events.

What you can share

Your work, your accomplishments, your art. Examples:

A show, reading, screening, exhibition, or performance you're part of

A book, album, film, zine, or project you've released

An award, residency, publication, or milestone

A workshop, class, or gathering you're hosting

An opportunity you're extending to other creatives

Whatever you submit should be creative in nature, a positive creative accolade, or genuinely helpful to the people in this community. If you can't say which of those three it is, it probably isn't a fit

Paid vs. free events

If your event is paid

It must include a discount for the Saturday Scribe Sustainers. You choose the amount and the form — a percentage, a flat reduction, a set number of comped seats. We'll include the code or instructions in your entry.

If your event is free

It needs to sit comfortably alongside the culture of Saturday Scribe. That means no solicitation dressed as invitation: no multi-level marketing, no recruitment pitches, no political or religious campaigning, and nothing that would make a first-time scriber feel sold to rather than welcomed.

Timing

The deadline to be included in any given month is the seven days before the start of the new month. A call for submissions goes out ahead of each deadline, and features run in the first week of the month.

That deadline comes around every month, so there's no single window to miss — if you don't make one cycle, your entry rolls to the next.

Plan backward from your event date. If your event falls in the first few days of a month, the feature may run too close to be useful — submit a cycle earlier so the word goes out with time to act on it.

The Saturday Scribe calendar

Beyond the newsletter, Sustainers can have their event added to our Luma calendar at luma.com/SaturdayScribe.

This is worth doing. The newsletter is one send on one day; the calendar is standing visibility. People who follow the calendar get notified when new events are added, and anyone who comes looking for what's happening finds your event sitting there alongside our sessions.

A few things to know:

  • The calendar is open to Sustainers who have sustained for three consecutive months. This is the one benefit with a waiting period — the calendar carries our name alongside yours, and that's a place we move slowly. Months you've already sustained count toward this, and if you pause and come back, you pick up where you left off rather than starting over.
  • Your event needs its own Luma listing for us to add it. If you're hosting on Eventbrite, a Google Form, or your own site, create a Luma event and point it wherever you like.
  • Calendar submissions follow the same cycle as the newsletter — the deadline is a week before the month begins.
  • You can submit to the calendar, the newsletter, or both. They're separate placements and the same entry works for each.
  • The same standards apply: your own work, useful or creative, discount required for paid events.

Rates

Two ways to reach the community. The newsletter is our monthly send, where your entry runs alongside our own updates. A blast is a dedicated email about your event only, sent to our Tulsa list roughly a week before your date.

Newsletter placement

Photo or graphic can be added to the Sentence or Paragraph tier — free for Sustainers, $15 otherwise.

Sustainers are limited to three newsletter placements per year, so the section stays useful to read rather than becoming a list of announcements.

Newsletter placements follow the monthly cycle described above — the deadline is the Tuesday before the month begins.

Dedicated blast

Sent to our Tulsa participants approximately one week before your event. A blast is a separate send that spends the community's attention on one event, so it carries a cost for everyone — Sustainers at roughly half the public rate.

Photo or graphic can be added to the Sentence or Paragraph tier — $15 for Sustainers, $25 otherwise.

Blasts are scheduled around your event date rather than the monthly cycle. Reach out at least three weeks ahead so there's time to schedule and, if needed, revise.

The Scribe calendar

Free for Sustainers after three consecutive months of sustaining. Not available to non-Sustainers.

Worth knowing

If you plan to share your work with this community more than once or twice a year, sustaining costs less than purchasing placements — and it comes with the WhatsApp thread and the Scribe calendar as well.

What we reserve

Inclusion isn't guaranteed. Space is limited, and some months bring more submissions than we can run well.

We also reserve the right to edit your entry for length, clarity, or fit. If a change would alter your meaning rather than just tighten your sentences, we'll check with you before it runs.

A note on the WhatsApp thread

Sustainers also have access to our WhatsApp community, where you're welcome to share what you're working on. The same spirit applies: share your own work, keep it occasional, and read the room. The thread is a place for scribers to be in relationship with each other, not a promotions channel.

How to submit

Fill out the form to submit to the Saturday Scribe Newsletter. You will be notified within 3 business days whether your submission is approved for the upcoming calendar. You will receive an invoice which needs to be completed within 2 business days.

Questions about whether something fits? Ask before the deadline rather than after — we'd rather help you shape it than turn it down.
